As we scale our output in the coming years to include a growing list of major monographs and editions, we require an individual to handle the journey from contract to print. This is a Project Management and Production Coordination role for an individual who thrives on precision and the execution of complex creative projects. You will act as the primary bridge between our creative and operational teams.
Key Responsibilities
1. Editorial Project Management
- Create and enforce production timelines for 6-8 annual titles, monitoring all milestones from manuscript to print.
- Serve as the main point of contact for contributors regarding logistics, ensuring deadlines are met and allowing the Publisher to manage their creative development.
- Recruit and supervise freelance editors, proofreaders, and indexers; negotiate fees and manage editorial budgets.
- Implement submission guidelines to ensure manuscripts are “production-ready” (text cleaned, images logged, permissions secured).
2. Editorial Operations & Staff Supervision
- Initiate and chair the Weekly Editorial Meeting. Set the agenda, track status for all projects, and ensure team accountability for action items.
- Direct the workflow of any Editorial Assistant. Oversee their work on image research and rights clearance, ensuring that all digital assets are organized according to strict design standards (file naming, resolution checks).
- Maintain the workflow sheets of the company-the single source of truth for what is done by whom.
- Ensure accurate data (ISBNs, specs, dates) flows to our Operations team for distribution and sales.
4. Production
- Serve as the primary supplier of materials to the Art Director/Designer. Ensure they receive perfect “packages” of text and images.
- Oversee the routing of proofs. Collate corrections from multiple stakeholders (Author, Publisher, Proofreader) into a single master set for the designer.
- Perform the final proofing on PDFs before they are released to the printer.
Job Requirements
The Ideal Candidate

3-5+ years experience in publishing (art, museum, or academic preferred). Experience with illustrated books and image rights is essential.

A systems-oriented thinker with strong copy-editing skills and a love for workflows.

Art-literate and diplomatic; able to manage sensitive relationships with grace.
