Job Description

The Services and Programmes Coordinator is a new fixed-term role, October 2026 to April 2027, created to support Theatres Trust through a period of organisational transition.

The Coordinator will play a central role in coordinating our grants, planning and advice services, ensuring enquiries, statutory consultations and other outward-facing work are managed efficiently and progress through our systems in a timely and accurate manner.

This is a practical, organised role for someone who enjoys bringing order to busy workflows, using systems effectively, and making sure colleagues and our users receive responsive, high-quality administrative support.

Job Responsibilities

Key duties and responsibilities include:

Enquiries and first-line coordination: Monitoring shared inboxes, prioritizing urgent/statutory matters, issuing routine responses, and routing complex cases to specialist staff.

CRM, records and management information: Maintaining accurate Salesforce records, upholding data protection, and producing simple operational reports.

Weekly enquiry and casework meeting: Preparing meeting agendas, tracking decisions, assigning action owners, and linking outcomes to Salesforce.

Grants and programme administration: Supporting grant application logging, outcome correspondence, monitoring collections, and schedule coordination.

Webinars and events: Managing registrations, joining details, participant queries, accessibility needs, and post-event attendance tracking.

Systems, learning and team contribution: Testing forms and templates, refining workflows, and updating process notes during transition.
