Job Summary

The post-holder will manage reception and carry out administrative tasks to support the smooth running of the teaching timetable. They will have a specific focus on successful facilitation of our Sixth Form, while also providing support to our instrumental lessons, band sessions and holiday camps.

Job Description

Reception:

  • Managing the access of students, parents and visitors to the premises.
  • Monitoring sixth form attendance and punctuality.
  • Ensuring that teachers are accurate with their timekeeping, all students are in the right place at the right time.
  • Acting as a first point of contact for all student and parent enquiries.
  • Initiating regular communication with students and parents to get feedback about their experiences of learning with us.
  • Helping to share studio news, upcoming events and opportunities with students and their parents.
  • Acting as a first point of contact for sixth form student pastoral concerns.
  • Checking-out and back in equipment accessories used by students and tutors.
  • Supporting colleagues with upkeep of teaching rooms, equipment and facilities.
  • Shutting down the office and closing the school at the end of a working day.

Administration:

  • Supporting the administration of the teaching timetable.
  • Making clear handover notes each day to ensure continuity and adequate communication amongst the administration team.
  • Managing the student database, student registration forms and family contact details.
  • Taking occasional card payments for shop items or lesson fee invoices.
  • Sourcing and booking cover tutors when sixth form class tutors are absent.
  • Supporting the scheduling of staff CPD and lesson observations.
  • Booking graded exam dates with RSL exam officers.
  • Ordering office supplies and stock for The Rhythm Studio’s accessory shop.
  • Curating gig line-ups, tutor schedules and managing communications around school events.

Finance:

  • Updating fee spreadsheets, making changes where necessary and carrying out invoicing checks.
  • Updating the fees and holiday camp spreadsheets with new bookings, logging payments and issuing invoices as required.
  • Sending out payment reminders.
  • Requesting tutor invoices and updating tutor payroll records

Job Requirements

Term-time Hours (34 weeks):
Mon, Tue, Wed, Thu: 8.45am-12.30pm
Fri: 8.45am-5pm

School holidays (4 weeks):
Mon-Fri: 8.45am-4.30pm

Paid Holiday is included in the annual salary calculated at 12.07%, equivalent to the statutory allowance of 5.6 weeks per year. Leave is taken outside of term-time weeks with 3 weeks of leave assigned when the studio is closed for 2 weeks over Christmas and 1 week during May half term. An additional 11 weeks of leave can be taken during other School Holiday or Half Term weeks in coordination with other members of the administrative team.
