Job Summary

The Operations Coordinator will take responsibility for supporting our customers to enrol their candidates for Arts Award certificates and prepare for moderation, and completing a range of associated administrative tasks.

About the role

You will take responsibility for supporting our customers to enrol their candidates for Arts Award certificates and prepare for moderation, and completing a range of associated administrative tasks.

You will be responsible for coordinating various operational and admin aspects to facilitate the operational delivery of Arts Award, including processing customer bookings and generating invoices, coordinating moderations, booking moderators and supporting customers to use our online systems. You will be involved with using our internal digital platforms and databases to manage and maintain accurate and up-to-date customer records and related data. You will serve as the first point of contact for our customers to offer support and information and answer queries by email and over the phone.

This role is a 12 months fixed-term contract, part-time working 3 days per week during regular office opening hour from 9am-5pm on Tuesdays, Wednesdays and Thursdays.

The salary is £25,696.44 per annum (pro rata).

  • Experience, understanding of and commitment to deliver outstanding customer service.
  • Experience of working in a customer facing role on email and phone, and ability to communicate well through these mediums.
  • Excellent administrative and organisational skills.
  • Attention to detail and ability to carry out a variety of office administrative tasks quickly and accurately.
  • Ability to work under pressure to meet customer demands and cope with periods of
    high workload.

Job Requirements

Experience of working in a customer facing role on email and phone, and ability to communicate well through these mediums
Excellent administrative and organisational skills
Attention to detail and ability to carry out a variety of office administrative tasks quickly and accurately
Ability to work under pressure to meet customer demands and cope with periods of high workload
Ability to organise own workload, prioritise workload and multitask
Good problem-solving skills and ability to use initiative
Strong IT skills, including experience of using Microsoft Outlook, Excel and Word
Experience using technology, the internet and online platforms, and the ability to support customers to engage with technology
Experience of working with databases and handling data
Ability to understand new systems and processes quickly
A team player with a positive “can do” attitude, and at the same time able to work independently and be responsible for own remit of work
