Job Summary

Support front-of-house, sales, and communications teams in a varied role requiring strong admin, organisational, and interpersonal skills. Ideal for a proactive individual with a passion for contemporary art and the ability to multitask across gallery operations.

Job Description

RESPONSIBILITIES:
Front of house & Gallery admin
Greet & interact with visitors professionally as first point of contact, answering questions about the gallery & exhibitions, providing exhibition guides, press releases & price lists, occasionally doing exhibition tours
Print & replenish press releases & price lists
Answering calls professionally, transferring calls & relaying messages
Act as gallery security, staying on the front desk whilst there are visitors & locking the front door when leaving
Ensure the gallery space, kitchen, front desk & bookshelves are tidy & in order
Manage the sale of books & bags bought by visitors & to take products sold online to the post office
Receive post & sign for gallery deliveries
Add contacts from the visitor’s book & sales inbox onto the gallery’s database weekly
Managing regular grocery orders, rubbish bin & other gallery stock deliveries
Updating artist bibliographies & biographies regularly
Managing weekly staff schedule rota for London, Rome & NYC.
Travel/ restaurant/ hotel bookings as needed
Assisting London & Rome team with stocking works into database (Artlogic) & Google Drive
Managing Teams Calendar
Sales
Support the Sales Directors by entering artworks & contacts into the database (Artlogic)
Creating sales documents (InDesign) & sending sales offer emails
Managing listings on Artsy
Sales research support
Communications & Events
Events assistance, (ordering provisions, managing guest lists, restaurant bookings, reservations & organisation on the day)
Assisting Press Manager with press kits for Exhibitions & Art Fairs (Google Drive)
Assisting Press Manager with contact research as needed
Assisting with updating the website (Artlogic)
Creating press cuttings
Tracking Google Alerts for Press
Monitoring newsletter bouncebacks
Generating monthly internal newsletter
Generating Exhibition posters & Guides (InDesign)

Job Requirements

Proficient in Mac OS, Microsoft Office Suite, and Adobe InDesign, SketchUp
Bachelor’s degree in the arts or related field
Excellent administrative and organisational skills, with attention to detail
Excellent interpersonal skills
Ability to work accurately and calmly under pressure
Good time management skills with the ability to meet deadlines
To be able to work independently as well as part of a team
Have a flexible approach to the job, and the ability and willingness to work flexible hours when required
