Job Description
Reporting to the Senior Partner, Europe, the Associate Director is a hands-on role requiring an individual who can own and execute complex projects end-to-end, manage multiple stakeholders, and ensure the smooth running of the gallery in a fast-paced commercial environment.
JOB DUTIES & RESPONSIBILITIES
Exhibitions, art fairs and logistics
Manage the London master calendar for exhibitions, fairs, auctions, museum events and other art industry happenings of note
In collaboration with Senior Partner and finance, create and track the exhibitions P & L, sourcing more favourable quotes from each vendor
With the Programming and Content Manager and sales assistant, create meeting agendas and track project deadlines
Oversee all stages of exhibition and art fair coordination from install to deinstall, including coordinating art handlers, shipments, facilitating customs formalities, imports and exports
Plan and organise special events, outsourcing materials, supplies, vendors and hiring necessary additional staff .
Manage all aspects of artwork logistics, including: international and domestic shipping; customs procedures (TA, imports/exports, VAT considerations); and storage coordination
Gallery Administration
Daily Operations – Ensure the gallery is fully open and ready for visitors at the beginning of each day
Building and office management – Oversee building maintenance, liaising with contractors to resolve any facilities issues promptly
Staff management – Ensure the gallery is fully staffed for special events, weekends and holiday seasons
Artist/Estate liaison
Assist artist and estate management
Assist Senior Partner with artist development through updating artist profiles and reviewing artist strategies
Sales Support
Assist with sales when required
Draft consignment and loan agreements and invoices
Aid Senior Partner in business development through review and update of client profiles and strategic client outreach
Job Requirements
EDUCATION: BA or MA in Art History; focus on or interest in twentieth-century to contemporary art, preferred.
EXPERIENCE: 3+ years of experience in a similar role in an art gallery (preferred), auction house, museum, or comparable environment. Knowledge of gallery operations, administration and logistics, in particular, artwork transportation and customs procedures required. Experience with budgeting and basic accounting is needed. Must be tech-savvy.
PERSONAL QUALITIES: Must be an excellent communicator, detail-oriented, with proven success in bringing structure and energy to an organisation. Must be a creative problem solver, reliable and flexible.
LANGUAGE: Fluent oral and written English.
LOCATION: In-office 5 days per week required.
SCHEDULE: Tuesday-Saturday
Must be authorized to work in UK.
