Job Summary
Job Description
- To provide administrative support to the Operations team to include:
-
Assisting with the Travel and Logistics Forms including collation of speaker presentations.

Responsible for booking/ordering props, equipment, unique objects required for related events, plus any other additional purchasing required to enable delivery of the festivals.

Assisting with, and eventually leading on, travel arrangements for festival participants and staff, and booking/hiring festival cars/vans as appropriate
-
Ensuring event related admin is completed accurately on FestivalPro (training provided)

Arranging meetings, circulating agendas and taking minutes when requested
-
Coordinating festival ID policies and ordering materials as appropriate, e.g. wristbands, lanyards, etc.

Assisting with the set up and running of the festival site office during festivals.

Providing administrative support for ad hoc exhibitions and installations at the Festivals
-
Producing festival/venue/event documentation, including signage, parking schedules
-
Assisting with arranging and booking site cleaners, water coolers, staff/volunteer parties etc
-
Reviewing artist riders to facilitate hospitality requests
-
Assisting Marketing on show administration tasks (Slido, Powerpoints, Cue cards, ad hoc admin assistance)

Assisting the Operations Manager in maintaining organised storage spaces

Assisting Operations and Production team during Get In and Get Out

Working alongside Artist Liaison to facilitate artist riders

Assisting with, and eventually leading, on artist/speaker transport and managing volunteer drivers

Ad hoc support for multiple departments during live festival days

Having an overarching understanding of coordinator roles, in order to provide cover for members of the Operations Team hours during festivals.
