Job Summary
We are seeking an experienced Events Producer to lead the delivery of Ibraaz’s multidisciplinary programme – film screenings, talks, concerts, performances, book launches and other live on-site activations throughout the building that are being developed.
Job Description
Main Duties and Responsibilities
- Deliver end-to-end project management, including meetings, project planning with artists, action tracking, scheduling, and logistics, particularly creating and managing timelines.
- Arrange travel, accommodation, and room bookings as required – including assistance in visa applications as required; and looking after visiting artists.
- Draft, issue, & process contractor and supplier contracts.
- Conduct and document risk assessments, evaluations, and reporting.
- Collate and maintain accurate project data, documentation, & archives. Updating SharePoint with relevant files.
- Oversee the production of video and audio for Ibraaz’s online editorial platform.
- Manage and track project budgets on a timely basis, ensuring accurate forecasting and reconciliation.
- Prepare costings, source estimates, and support procurement processes.
- Offer and process artist fees, supplier invoices, & production payments.
- Foster strong, supportive relationships with artists, contributors, and facilitators.
- Work collaboratively with internal teams including Curatorial, Communications, Digital, Marketing, Operations, and Visitor Experience.
- Liaise with artists, partners, and stakeholders to interpret briefs and shape production responses.
- Coordinate the delivery of all technical aspects of events and installations.
- Brief onsite teams, technicians, and freelancers.
- Oversee internal project preparation and logistics.
- Confident in ‘leading’ across various parts of event production including technical, Visitor Experience Team, and Front of House.
- Manage the delivery of all equipment, including client-owned and supplier assets, as well as de-rigging, scheduling collections, returning events spaces to original settings ready for opening the next day
- Ensure all health and safety requirements are met; pre-empt potential risk areas.
- Deliver post-event processes including debriefs, evaluations, and budget reconciliation.
Job Requirements
Experience and Knowledge
- Broad experience in an events, production, or technical project management role (e.g., Events Manager, Production Manager, Technical Project Manager).
- Experience within the live events, cultural, or creative industries.
- Demonstrable experience working in galleries, museums, or cultural institutions, with a good network.
- IT literate, including Word, Excel, Outlook; knowledge of SketchUp or AutoCAD is beneficial.
Skills and Attributes
- Excellent organisational and time-management skills, able to juggle multiple projects in a fast-paced environment.
- High accuracy and attention to detail in all work produced.
- Strong verbal and written communication skills, with the ability to work across teams and with varied stakeholders.
- Confident working with artists, curators, technicians, and external suppliers.
- Skilled at sourcing estimates, managing numbers, and working with budgets.
